Where they started
Participants, volunteers and the medical team each had their own online form. Signups and waitlists lived in spreadsheets and a shared inbox, and who needed what lived in the founder's memory.
What we built
One account per family, with intake that captures safety details and a vetting queue.
Registration that stops at capacity, with a waitlist that runs itself.
Safety notes shown on the approval screen, on assignment cards, at check-in and on the printed badge.
Highlights
Designed around real families
Guardians manage people who have no email address of their own, and every notice goes to the responsible adult.
Reliable on a busy event day
A duplicate scan does no harm, a walk-in can't push out the wrong person, and no message goes out twice.
Software that drives the printers
Badges are designed for direct-thermal printers and routed to one of two printers by role, and a printer fault never stops check-in.

Worth knowing
Scanning and automatic badge printing happen in the event app. The website offers a tap list and a manual print dialog.
Assignment is a manual tool with the full context on screen. There's no matching algorithm, background-check service or e-signature.
No attendance, member or donation figure is shown here. Those numbers belong to the client.
Two colors in the staff admin fall short of the accessibility contrast standard. The screens show the app as it runs, not a corrected version.
