Process

How we work

We set the price after we've mapped how your business runs. Then we build in phases. Each one replaces a tool you rent or a job someone does by hand, and you sign it off before the next one starts.

The phases

This is a typical sequence for a distributor. We set yours at the audit.

  1. P0

    Discovery and systems audit

    Two to three weeks

    First result

A map of how your company runs today, with real costs taken from your own invoices.

    Signed off when

The map is agreed, your accountant has put the rules for the books in writing, and every open question is answered or parked on purpose.

  2. P1

    Order management and accounting integration

    Two to three months

    First result

Each order is entered once, and your ordering no longer depends on a platform you rent.

    Signed off when

Every accepted order reaches accounting without anyone retyping it, and the tax for the period matches the invoices.

    Replaces

    • The rented ordering platform
    • Retyping orders into accounting
  3. P2

    Inventory and compliance integration

Three to four months, starting before order management is done

    First result

One stock count across every system, and shipping paperwork built from the pick.

    Signed off when

A full physical count matches the system at every location, within the agreed tolerance, and a week of shipping documents all came from the platform.

    Replaces

    • The warehouse app
    • The marketplace channel
  4. P3

    Production and costing

Three to four months, overlapping the inventory phase

    First result

A cost per batch your accountant can defend.

    Signed off when

A month of production is costed by batch and posted to the books, with no login to the old production system.

    Replaces

    • The industry ERP that gets used for a fraction of what it does
  5. P4

    Finance, parallel run and cutover

Built alongside the earlier phases, then two periods side by side

    First result

A closed period on the new books that matches the old ones to the cent, signed by your accountant.

    Signed off when

The switch happens at a period end your outside accountant has signed, and the next period closes on the new system alone.

    Replaces

    • The per-seat accounting system and its partner fees
  6. P5

    Reporting and legacy retirement

    Throughout, finishing after the switch

    First result

The monthly package for your lender or board comes straight out of the platform.

    Signed off when

Monthly reports, tax support and the reconciliations your auditors test all come out of the platform, with no spreadsheet and no login to the old ledger.

    Replaces

    • Automation tools
    • Spreadsheet reconciliations
    • The old ledger, after it stays read-only through a tax filing

What stays the same on every project

  • Nothing is deleted or overwritten

Postings are reversed, never edited. Imported history is marked as imported, and a retired system stays read-only until your next financial audit.

  • The biggest problem goes first

Usually that's orders and the accounting integration. Every phase is useful on its own, so you see results long before the whole system is done.

  • Each phase replaces something

A subscription, or a job someone does by hand. We write down what each phase replaces before it starts.

  • Accounting moves last

It carries the most risk, so it goes after every other phase is running, and the old books stay live until the new ones match them.

What it costs

The price is set at the audit.

Each phase has its own fixed price. You never commit to the whole system at once, and you never wait until the end to learn what it costs.

What a fixed price doesn't cover

  • Point-of-sale hardware and consumer checkout.
  • Payroll calculation. We import payroll journals as entries.
  • Changes to a system that's being retired. We connect it, move its data and switch it off.
  • New modules, reports or integrations that come up during a phase. We quote each one before starting.
  • Marketing, content and SEO for your public website.

Get started

Start with a free systems audit.

We map how orders, stock and money move through your company today, and every place your team types the same thing twice. Then we turn that into a phased plan with a fixed price for each phase.
