Custom CRM

One system for how a company sells, bills and gets paid

A typical build replaces a prospect spreadsheet, a subscription invoicing tool and the hours spent matching deposits to invoices with one system shaped around how the company sells, bills and banks. The screens here are from one of those builds, for a services firm.

The CRM we build for companies

  • 2

weeks from the first commit to invoicing and bank feeds

  • 111

commits in its first eleven weeks

  • 3

financial statements that drill down to the transaction

Before and after

  • Before

A prospect spreadsheet whose columns drifted and whose dates broke on every import.

    After

A pipeline with a two-axis deal state, a rep desk and a full record for every account.

  • Before

A subscription tool for invoicing and bookkeeping.

    After

Estimates and invoices with tax and totals snapshotted on issue and shared by signed links, with the old history migrated and tied to the cent.

  • Before

Bank deposits matched to invoices by hand.

    After

Bank feeds that sync on a cursor, and deposits allocated across many invoices with matches suggested where the amounts line up.

What it proves

  • Workflow-shaped software, not generic records.

The two-axis deal state, the rep desk that claims prospects from a shared pool and the ranked outreach channels exist because of how the company it was built for actually sells.

  • Finance-grade arithmetic.

Integer-cents math, tax rates and totals snapshotted on issue, statuses derived rather than stored, many-to-many deposit allocation, and three statements that drill down from one shared row model.

  • Integrations hardened for production.

A bank sync that survives a partial failure, signed webhooks that only trigger a fetch, and handling for a bank that silently revokes access to one account.

  • Security thinking in an internal tool.

A fail-closed allowlist, a privilege tier that cannot be granted from inside the app, and access checks repeated at page level because layouts stream in parallel.

  • Migration as a deliverable.

The invoicing history came across with totals tied to the cent, through an import that runs as a dry run by default and is safe to run again.

What it is, and what it is not

  • The build shown here has no proposal builder, templates, e-signature or client acceptance flow, and no client portal.

  • It has no AI features. Suggested deposit matches are exact-amount arithmetic.

  • It does not process payments. Payments are recorded by hand or matched from the bank feed.

  • It is not double-entry accounting. The books are cash-basis and category-driven, with no journal entries, payables, payroll or tax filing.

  • It is single-tenant, with stages and categories held in code rather than configuration.

  • It sends no notifications and has no tasks or reminders, and it is proven at the scale of a small firm, not an enterprise.
